Position Overview

We are seeking an Operations Manager to oversee and strengthen the internal operations of our growing firm. This role will report directly to the President and will be responsible for improving business processes, managing administrative functions, and supporting company growth. The Operations Manager will supervise three part-time administrative staff and play a key role in streamlining workflows and maintaining smooth day-to-day operations.

Key Responsibilities

  • Lead and manage internal operations including office administration, finance, HR processes, and marketing coordination.
  • Develop, document, and improve Standard Operating Procedures (SOPs) across departments.
  • Oversee payroll and bookkeeping functions in coordination with external accountants or vendors.
  • Coordinate general office activities, supplies, scheduling, and vendor relationships.
  • Support marketing and business development initiatives, including tracking opportunities and coordinating proposals.
  • Supervise part-time administrative team members; provide coaching, direction, and performance feedback.
  • Implement tools and systems to support operational efficiency and growth.
  • Serve as a key support to the President, ensuring operations align with company goals.
  • Perform other administrative and operational tasks as needed.

Qualifications

  • Strong organizational and problem-solving skills with attention to detail.
  • Ability to create, implement, and refine business processes.
  • Experience in payroll, bookkeeping, and general office management.
  • Familiarity with small business marketing and business development practices.
  • Strong interpersonal and communication skills; ability to lead and mentor staff.
  • Proficiency with Microsoft Office; experience with bookkeeping or payroll software a plus.
  • Self-starter with the ability to work independently and as part of a team.

Education & Experience

  • Bachelor’s degree in Business Administration, Operations Management, or a related field preferred but no required. Experience can take the place of education.
  • 3+ years of experience in operations or administrative management roles.
  • Experience in a professional services or engineering environment is a plus.

Compensation & Benefits

  • Base salary starting at $70,000, commensurate with experience
